Office Operations Coordinator - Full time position
Role Overview: The Office Operations Coordinator is responsible for supporting the smooth day-to-day running of the office and delivering key operational and people-support activities across the business.
The role is hands-on and detail-driven, ensuring the office environment is well managed, compliant, and welcoming, while supporting employee experience through scheduling, benefits administration, internal communications, and culture initiatives. The position works closely with Operations, HR, IT, building management, and external suppliers to keep operations running efficiently.
Key Responsibilities: Office Facilities & Operations
- Coordinate all office supplies and facilities, including stationery, refreshments, and shared resources, ensuring appropriate stock levels and spend within budget.
- Support annual reviews of office suppliers, identifying opportunities for improved value or cost efficiency.
- Ensure all office areas are well maintained, including regular carpet cleaning, kitchen facilities, post room organization, and general upkeep.
- Manage building access and entry permissions.
- Act as a key point of contact with building management and external service providers.
- Coordinate office maintenance and services, including air conditioning, fire safety equipment servicing, electrical work, and general repairs.
- Meet and greet visitors, arranging introductions and refreshments when required.
- Support health and safety compliance by ensuring certifications are up to date and required
Scheduling, Coverage & Reporting
- Maintain weekend, Saturday, holiday, late-day, and on-call schedules.
- Oversee and coordinate weekend reporting, ensuring reports are completed accurately and submitted on time.
- Liaise with HR to support accurate compensation for on-call and out-of-hours coverage.
Mail, Deliveries & Office Organization
- Coordinate incoming mail and deliveries.
- Maintain organization and inventory of office equipment and storage areas.
- Coordinate Callaway equipment orders and tracking.
IT Coordination
- Act as the liaison between UK and US IT teams.
- Coordinate ordering, testing, and deployment of IT equipment, including laptops, and office TVs.
- Support IT-related logistics and escalate issues where required.
Benefits Program Support
- Support communication of benefit options and help with onboarding local benefit options.
- Monitor engagement and usage levels across benefit offerings.
Employee Experience & Company Culture
- Support the organization and delivery of company, charity, and social events.
- Assist with internal communications, including company announcements and the monthly Golfbreaks Newsletter.
- Support employee surveys and engagement initiatives.
Required Skills and Experience
- Under-graduate Degree
- Minimum 2-year customer service experience
- Excellent communication and listening skills
- Driven, tenacious and self-motivated attitude
- Service-minded 'how can I help' approach
- Methodical, Organized and with excellent attention to detail
- Team Player willing to roll sleeves up and get stuck in
- Ability to multi-task and work under pressure
